This Privacy Policy describes how Soundbite.so, LLC ("Soundbite," "we," "us," or "our") collects, uses, and protects information when you use the Soundbite.so website and services (the "Service"). This policy applies to account holders, team members, and visitors to our website. For information about how we process audio recordings collected through the Soundbite widget on your website, see the "Widget Submitter Data" section below.

By using the Service, you agree to the collection and use of information in accordance with this policy. This Privacy Policy is incorporated into and subject to our Terms of Service.

1. Information We Collect

Account Information

When you create an account, we collect your email address and password. If you subscribe to a paid plan, our payment processor (Stripe) collects your payment information. We do not store your credit card numbers on our servers.

Audio Recordings and User Content

We store audio recordings submitted through the Soundbite widget embedded on your website, along with any associated metadata (such as the submitter's name or email, if your widget is configured to collect it). When transcription is enabled, we process the audio to generate text transcripts.

Usage Information

We use Plausible Analytics, a privacy-friendly analytics tool that does not use cookies and does not collect personal data. Plausible collects aggregate, anonymous usage data such as page views, referral sources, browser type, and country of origin. No individual visitors are tracked, and no personal information is collected through our analytics.

Log Data

Our servers automatically record information when you access the Service, including your IP address, browser type, operating system, referring URL, pages visited, and timestamps. This data is used for security monitoring, debugging, and maintaining the Service.

2. Widget Submitter Data

When a visitor to your website records audio through the Soundbite widget, we collect and process the following on behalf of you (the account holder):

  • The audio recording itself
  • Any contact information the submitter provides (name, email, etc.) based on your widget configuration
  • Technical metadata (browser type, IP address, timestamp)

In this context, you are the data controller and Soundbite is the data processor. We process this data solely to provide the Service to you and in accordance with the Data Processing terms in our Terms of Service. We do not use submitter data for our own marketing or analytics purposes. You are responsible for providing appropriate privacy disclosures to your website visitors and obtaining any necessary consents.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process your subscription and payments
  • Send transactional emails (account confirmations, password resets, billing receipts, notification alerts)
  • Store and deliver audio recordings to your account inbox
  • Generate transcriptions of audio recordings when you enable that feature
  • Monitor for abuse, fraud, and security threats
  • Respond to your support requests
  • Improve and develop the Service

We do not sell your personal information. We do not use your audio recordings or User Content to train machine learning models or for any purpose other than providing the Service to you.

4. How We Share Your Information

We share your information only in the following circumstances:

Service Providers

We use third-party service providers to operate the Service. These providers process data on our behalf and are contractually obligated to protect your information:

  • Stripe — payment processing (receives your payment details directly; we do not store card numbers)
  • Cloud storage provider — hosting and storing audio files (encrypted at rest)
  • AI transcription service — processing audio for transcription when you enable that feature
  • Email delivery service — sending transactional notifications

Team Members

If you invite team members to your account, they will have access to audio recordings, transcriptions, notes, and other content within that account as permitted by their role.

Legal Requirements

We may disclose your information if required to do so by law, or in the good faith belief that such action is necessary to comply with a legal obligation, protect our rights or safety, or investigate potential violations of our Terms of Service.

Business Transfers

If Soundbite is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email before your information becomes subject to a different privacy policy.

5. Cookies and Tracking

We use a minimal number of cookies, limited to what is necessary to operate the Service:

Essential Cookies

We use session cookies to keep you logged in and to protect against cross-site request forgery (CSRF). These cookies are strictly necessary for the Service to function and cannot be disabled.

Remember Me Cookie

If you choose to be remembered when logging in, we store a persistent cookie to maintain your session across browser restarts.

No Tracking Cookies

We do not use advertising cookies, third-party tracking pixels, or any form of cross-site tracking. Our analytics provider (Plausible) is cookie-free and does not track individual users.

6. Data Storage and Security

Storage Location

Your data, including audio recordings, is stored on servers located in the United States.

Security Measures

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Secure password hashing
  • Access controls limiting who can access your data
  • Regular security reviews

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security.

7. Data Retention

Account Data

We retain your account information for as long as your account is active. If you close your account, we will delete your personal information and audio recordings within 30 days, unless retention is required by law.

Audio Recordings

Audio recordings are retained in your account until you delete them or until your account is closed. You may delete individual recordings at any time through the Service.

Server Logs

Server logs containing IP addresses and request data are retained for up to 90 days for security and debugging purposes, after which they are automatically deleted.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

Access and Portability

You can access your account data at any time by logging into the Service. You may export your audio recordings and contact data through the Service's export functionality.

Correction

You can update your account information (such as your email address) through your account settings.

Deletion

You may delete individual audio recordings at any time. To delete your entire account and all associated data, contact us at hello@soundbite.so. We will process account deletion requests within 30 days.

Marketing Opt-Out

You can manage your email notification preferences from your account's notification settings. Transactional emails (such as billing receipts and security alerts) cannot be opted out of while your account is active.

9. Rights for EU/EEA Residents (GDPR)

If you are located in the European Union or European Economic Area, you have additional rights under the General Data Protection Regulation (GDPR):

  • Legal basis for processing: We process your personal data based on contractual necessity (to provide the Service you signed up for), legitimate interest (to maintain and improve the Service), and your consent (where applicable).
  • Right to restrict processing: You may request that we restrict processing of your personal data in certain circumstances.
  • Right to object: You may object to the processing of your personal data for certain purposes.
  • Right to data portability: You may request a copy of your personal data in a structured, commonly used, machine-readable format.

11. Children's Privacy

The Service is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you are an account holder, you agree not to use the widget to knowingly collect audio recordings or personal information from children under 13 without verifiable parental consent.

If we become aware that we have inadvertently collected personal information from a child under 13 without appropriate consent, we will take steps to delete that information promptly. 12. International Data Transfers

Soundbite is based in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to this transfer. We take steps to ensure your data is treated securely and in accordance with this Privacy Policy regardless of where it is processed.

The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any third-party services you access through the Service.
